Cloud Based Email Services & Collaboration Systems

Cloud email migration, Microsoft 365 and Google Workspace deployment, email security, and collaboration platforms — engineered by senior practitioners for deliverability, security, and zero-downtime cut-overs.

01 — Approach

How we engage.

Cloud email & collaboration, deployed so your team never notices the cut-over.SimplyRem migrates, secures, and operates cloud email platforms and collaboration systems — Microsoft 365, Google Workspace, Exchange Online, and the messaging, file-sharing, and identity tools that sit alongside them. Every engagement is led by a senior systems engineer who has run mail at scale: deliverability, anti-spoofing, e-discovery, and the quiet discipline of moving thousands of mailboxes without a single bounced thread. No reseller box-shifting. No "lift and pray" migrations that strand calendars and shared mailboxes. What we deliver
  • Email migration — to Microsoft 365 or Google Workspace from on-prem Exchange, legacy IMAP, GoDaddy, cPanel, Zimbra, or a competing cloud tenant. Mail, calendars, contacts, shared mailboxes, and distribution lists — moved intact.
  • Microsoft 365 deployment & administration — Exchange Online, Teams, SharePoint, OneDrive, Entra ID, Intune, and Purview compliance — designed, hardened, and documented.
  • Google Workspace deployment & administration — Gmail, Drive, Meet, Calendar, Groups, and Vault — provisioned with the org-unit, sharing, and retention policy your security team will sign off on.
  • Email security & anti-spoofing — SPF, DKIM, and DMARC implemented to enforcement (p=reject), plus anti-phishing, safe-links, and impersonation protection via Proofpoint, Mimecast, or native Defender.
  • Deliverability engineering — getting your mail out of spam folders: domain reputation, warm-up, BIMI, feedback loops, and the DNS hygiene most teams never get right.
  • Collaboration platform deployment — Slack, Teams, Zoom, Notion, Confluence — rolled out with SSO, provisioning, governance, and the integration plumbing that makes them stick.
  • Tenant-to-tenant migrations — merging or splitting Microsoft 365 / Google tenants after an acquisition, divestiture, or rebrand, with coexistence during the transition.
  • Compliance, archiving & e-discovery — legal hold, retention policies, journaling, and archive design for SOC 2, ISO 27001, HIPAA, GDPR, and SEC / FINRA recordkeeping.
Why teams choose our cloud email & collaboration services
  • Senior-only delivery. A staff-level engineer owns the migration — not a junior running a vendor's migration wizard and hoping nothing breaks.
  • Zero-downtime cut-overs. Coexistence, MX staging, and cut-over windows planned so users keep sending and receiving throughout. Rollback is designed before the first mailbox moves.
  • Platform-agnostic. Microsoft 365, Google Workspace, Zoho, or a hybrid — we recommend by fit and TCO, not by which partner programme pays the most. No reseller margin shaping the answer.
  • Deliverability done right. Most "our email goes to spam" problems are a misconfigured SPF, DKIM, or DMARC record. We fix the DNS, enforce the policy, and prove it with reporting.
  • Security baked in. MFA, conditional access, anti-phishing, DLP, and least-privilege admin from day one — not retrofitted after the business-email-compromise incident.
  • Documented for the operator. Every engagement closes with a runbook, an admin guide, a documented DNS and policy baseline, and a hand-off your IT team can actually maintain.
  • Stay-on retainers. Most clients keep us on a monthly retainer covering user onboarding/offboarding, policy review, security tuning, and the slow steady work of keeping a tenant clean.
Microsoft 365 or Google Workspace — what should you choose? We are agnostic, and we will tell you honestly. Microsoft 365 is the right call when you live in Office documents, need deep Windows / Intune device management, run regulated workloads that lean on Purview compliance, or already own Entra ID for identity. Google Workspace is the right call when you collaborate in real time in the browser, want the simplest admin surface, run a Chromebook or mixed fleet, and value Gmail's search and spam filtering. Most companies are better served by committing fully to one rather than running a half-configured hybrid — and we will tell you when a hybrid is the rare right answer (usually post-acquisition coexistence) versus the usual wrong one.Our email & collaboration engagement process1. Audit & discovery (1 week)We inventory your mailboxes, distribution lists, shared resources, DNS, security posture, and the collaboration tools already in play. You receive a written report: migration complexity, deliverability risks, security gaps, licensing optimisation, and a phased plan — even if you choose not to hire us for the build.2. Design & pilot (1–2 weeks)Target tenant design — identity, org units, sharing, retention, security policy — plus a pilot migration of a friendly user group to validate the cut-over runbook before the whole org moves.3. Migration in wavesUsers migrate in scheduled waves with coexistence so nothing stops working mid-transition. Each wave is validated — mail, calendar, shared mailboxes, mobile devices — before the next begins. You see real progress every few days, not a single high-risk weekend.4. Security, deliverability & cut-overSPF, DKIM, and DMARC moved to enforcement; MFA and conditional access switched on; anti-phishing and DLP policies applied; MX cut over with a tested rollback. Deeper engagements pair with our cybersecurity practice for a full email-threat and phishing-resilience review.5. StewardshipMost clients retain us on a monthly retainer — onboarding/offboarding automation, license optimisation, security policy review, DMARC report monitoring, and the slow steady work of keeping a tenant clean as the company grows. The platforms & tools we deploy
  • Email & productivity: Microsoft 365 (Exchange Online, Teams, SharePoint, OneDrive), Google Workspace (Gmail, Drive, Meet), Zoho Mail / Workplace.
  • Identity & access: Entra ID (Azure AD), Google Cloud Identity, Okta, JumpCloud — SSO, SCIM provisioning, conditional access, MFA.
  • Email security: Microsoft Defender for Office 365, Proofpoint, Mimecast, Abnormal Security, native SPF / DKIM / DMARC / BIMI.
  • Migration tooling: BitTitan MigrationWiz, Quest On Demand, CloudM, SkyKick, native Exchange and Workspace migration services.
  • Collaboration: Slack, Microsoft Teams, Zoom, Notion, Confluence, Atlassian, Miro — deployed with governance and SSO.
  • Compliance & archiving: Microsoft Purview, Google Vault, Mimecast archive, Global Relay for SEC / FINRA recordkeeping.
  • Device management: Microsoft Intune, Google Endpoint Management, Jamf for the Apple fleet.
Who we work withOur email & collaboration clients are typically growing companies migrating off legacy or consumer-grade email (cPanel, GoDaddy, on-prem Exchange), organisations consolidating tools after an acquisition, fintechs and healthtechs with real recordkeeping and compliance requirements, and IT teams who need senior bench depth for a migration they cannot afford to get wrong. We do our best work when the brief is concrete — a mailbox count, a cut-over date, a compliance requirement — and the team on the other side cares about a clean transition as much as we do.Engagement models & pricing

04 — Common questions

Frequently Asked Questions

How much does email migration cost?

Email migration from SimplyRem typically ranges from $10,000 for a small, clean migration to $80,000 for a large or complex one — the drivers are mailbox count, source platform (on-prem Exchange and Zimbra are harder than IMAP), shared-resource complexity, and compliance requirements. Full tenant deployment-and-hardening engagements run $25,000–$90,000. We publish honest ranges because scope, not guesswork, sets the price.

How long does it take to migrate to Microsoft 365 or Google Workspace?

A small business (under 50 mailboxes) migrates in two to four weeks including pilot and cut-over. A few hundred mailboxes with shared resources and compliance requirements runs four to eight weeks. We migrate in scheduled waves with coexistence, so nothing stops working mid-transition — there is no single high-risk weekend.

Microsoft 365 or Google Workspace — which is better for my business?

We are agnostic and will tell you honestly. Microsoft 365 wins when you live in Office documents, need Intune device management, or run regulated workloads on Purview. Google Workspace wins for real-time browser collaboration, the simplest admin surface, and Gmail search and spam filtering. Most companies are better served committing fully to one rather than running a half-configured hybrid.

Will my email go down during the migration?

No. We use coexistence and MX staging so users keep sending and receiving throughout the migration. Cut-over happens in planned windows with a tested rollback, and each wave is validated — mail, calendar, shared mailboxes, mobile — before the next begins. Zero-downtime is the design goal, not a hopeful outcome.

Why does our email keep landing in spam, and can you fix it?

Almost always, yes. The cause is usually a misconfigured or missing SPF, DKIM, or DMARC record, a cold sending domain, or poor DNS hygiene. We audit your authentication records, move DMARC to enforcement, set up domain warm-up and feedback loops where needed, and prove the improvement with inbox-placement reporting.

Can you help us merge or split tenants after an acquisition?

Yes — tenant-to-tenant migrations are a core practice. We handle merging two Microsoft 365 or Google tenants after an acquisition, or splitting one after a divestiture or rebrand, with coexistence (shared global address list, free/busy, mail routing) during the transition so neither side loses functionality mid-merge.

Do you handle email security and anti-phishing?

Yes. Every engagement includes SPF / DKIM / DMARC to enforcement, MFA, conditional access, anti-phishing and impersonation protection (Microsoft Defender, Proofpoint, or Mimecast), and DLP policy. Deeper engagements pair with our cybersecurity practice for a full email-threat and phishing-resilience review including simulated phishing campaigns.

Do you offer ongoing administration after the migration?

Yes. Most clients keep us on a monthly managed-administration retainer covering user onboarding and offboarding, license optimisation, security policy review, DMARC report monitoring, and tenant hygiene. A migration is a project; a clean, secure tenant over time is a programme — and we price the ongoing work accordingly.
